Privacy Policy

This Privacy Policy covers the Civic Memory public website at civicmemory.ai, including its illustrative demo. Civic Memory is operated by PTW Consulting LLC (“Civic Memory,” “we,” “us,” or “our”).

This policy does not govern a city website, a third-party public-record source, or a separately hosted Civic Memory pilot. Those services may have their own privacy terms.

• Information you send us. The contact form prepares an email in your own mail application. We receive the name, work email, organization, and message only if you choose to send that email, along with any later correspondence.
• Optional site analytics. If you allow analytics, PostHog collects pseudonymous usage and technical data such as pages viewed, button and link clicks, referral and campaign information, browser and device details, approximate location, and browser errors. We do not identify marketing-site visitors or create named person profiles in PostHog.
• Limited hosting logs. Amazon CloudFront keeps a private 30-day operational log. Our configured log fields exclude client IP address, user agent, referrer, query string, cookies, country, forwarded-for data, and client port.
• Your privacy choice. Your browser stores whether you allowed analytics and the date and version of that choice.

We use two categories of browser storage:

You may allow, decline, or withdraw analytics at any time. Withdrawing stops future collection and disables PostHog storage on this browser.

We use information for the following purposes and legal bases:

• To respond to inquiries and explore a requested relationship or project.
• To operate, secure, diagnose, and maintain the website and prevent misuse.
• With your consent, to understand site performance and improve Civic Memory.
• To comply with law and establish, exercise, or defend legal claims.

Where applicable, these purposes rely on your consent, steps taken at your request, our legitimate interests in operating a secure and useful business website, or legal obligations.

We do not sell personal information or share it for cross-context behavioral advertising. We may disclose information only as needed to:

• Use Amazon Web Services for S3 and CloudFront hosting and operational logs.
• Use PostHog as our analytics processor, but only after analytics consent.
• Use our business email and productivity providers to receive and answer messages you send.
• Comply with law, protect rights and safety, or complete a merger, financing, or sale.

When you follow a third-party link, that party handles information under its own policy. See PostHog’s privacy notice for more about its practices.

CloudFront operational logs expire after 30 days. Browser consent and PostHog persistence expire after six months unless renewed. Analytics events and business correspondence are retained only for as long as reasonably needed for the purposes described above, including security, business recordkeeping, and legal requirements, then deleted or de-identified.

We use reasonable administrative and technical safeguards, including encrypted private storage, HTTPS, restrictive browser security headers, and limited deployment access. No internet system can be guaranteed completely secure.

Depending on where you live, you may have rights to request access, correction, deletion, or a copy of personal information; object to or restrict processing; withdraw consent; or appeal a denied request. You may also complain to your local data-protection authority.

To make a request, email pwild@ptwconsultingllc.com. We may need to verify your identity and authority before fulfilling a request. We will not discriminate against you for exercising a privacy right.

Civic Memory is intended for professional and adult audiences, not anyone under 18. We do not knowingly collect personal information from children through this site.

PTW Consulting LLC and the site’s primary providers operate in the United States. If you access the site from another country, information may be processed in the United States, where privacy laws may differ. Where required, providers use contractual and other safeguards for international transfers.

We may update this policy as Civic Memory or the law changes. We will post the revised version here and change the date above. If a material change requires new analytics consent, we will ask again before that processing begins.
